Sending Emails through Google Suite

CM can be set up to send emails through Microsoft 365, but it requires some configuration within google first. It uses G-Suite feature "App Passwords" if you're looking for further reading.

Prerequisites

These are things you need first in order to follow this guide.

  1. Admin access within your Google Suite
  2. Admin access within CM.
  3. Outbound access from CM on port 587 (This is particularly a issue with Digital Ocean hosting)
  4. A static IP address for CM (you probably already have this).

Process

Step 1: Ensure 2-step verification is on for the account in question

  1. Log into the email account that will be sending the emails. (Reg@yourconvention.com maybe)
  2. Go to Google Account Security
  3. Select "2-Step Verification" from the "How you sign into Google" Section. If this option is missing, use the search functionality at the top of the page to search for App passwords, then select App passwords from the Google Account Result category.

Step 2: Add your App Password

  1. Select the App passwords option (located at the bottom of the page). If the App passwords option is not visible (possibly due to having a regular account instead of a business account), you can try using this direct link to access your App passwords.
  2. Name your App and click create. (Potentially 'Convention Master SMTP Relay') This will now show you the password one time. You are now ready to configure SMTP in Convention Master.

Step 3: Configure CM email sending

When you configure the email server in CM, use the following settings:

  • Send method: SMTP
  • Server address: smtp.gmail.com
  • Server port: 587
  • Connection security: TLS
  • Password authentication: checked
  • Username: the email address for your account
  • Password: The Password you obtained in step 2.
  • Rate Limiting: Suggested no more than 60 messages every 60 seconds (For personal accounts) If you plan to send more than that use MailGun

You need to make sure that you send emails from an address which ends in your domain name. The sending address does not need to exist in Microsoft 365.

  1. Log into your CM console
  2. Click Admin - Install then "Edit Email Servers"
  3. Click the Pencil Icon beside the email server.
  4. Change the "Send Method" to SMTP to see all the fields.
  5. Use the settings from above
  6. CM will test the email connection and password on save. If it saves successfully, it worked.
